City of Tucson Arizona Request for Information

Dear SWANA Member,

Are you an owner of an active landfill and keep your landfill associated documents in an electronic document management system (EDMS)?

Are you a municipality or private agency responsible for tracking and storing information for your solid waste areas?

If you answered yes to any part of these questions, the City of Tucson would like to ask you a few questions regarding your EDMS.

The City of Tucson is in the process of developing such a system for our active municipal landfill, and would like to obtain information from other landfill owners about their EDMS. The City of Tucson appreciates any feedback on this subject.

Below are questions the City of Tucson is interested in hearing about:

1) What's the name of the software used for your electronic document management system (EDMS)?

2) What information (or attributes) are populated for uploading a document (for example: date of document, subject, regulatory agency, document type, author, etc...)

3) If your EDMS is well established:

a. Is there any additional information that is not part of your system that you wish you have included?

b. Or, is the level of effort and money spent indexing documents high and would less information of been better? Which information could've been left out?

4) Does your EDMS process your documents for optical character recognition (OCR), or similar software, making your documents' text searchable?

5) Do you have any other information that would be useful in developing an EDMS?

When complete, please send to Lori Ehman at
Lori.ehman@tucsonaz.gov<mailto:Lori.ehman@tucsonaz.gov> or if you'd like to discuss in more detail, please call Lori at 520-837-3702.

The City of Tucson would appreciate any feedback regarding this subject and thank you for your time in advance!
